The difference between useless AI email drafts and great ones is the prompt structure. Every template below follows it:
[Role] + [Context] + [Task] + [Constraints] + [Example of my voice]
The templates
1. Quiet prospect follow-up: "You are my sales assistant. A prospect [description] went silent after [last touch, N days ago]. Write a 4-sentence follow-up that gives value (not guilt). Tone: warm, direct. No 'just checking in.'" 2. Price objection reply: "…prospect says we're too expensive. Reply acknowledging the concern, restate outcome-value in their words, offer one alternative (smaller scope, not discount)." 3. Support triage: "…customer is frustrated about [issue]. First sentence: acknowledge specifically. Then fix path in numbered steps. End with a direct line to me." 4. Refund request: "…approve gracefully, ask one optional feedback question, no upsell." 5. Win-back: "…past client, inactive N months. Reference their specific past project. One new relevant offer. One-sentence CTA." 6. Quote/proposal cover note: "…summarize scope in plain language, state timeline and price confidently, no apology language." 7. Late-payment nudge (friendly): "…invoice N days overdue. Assume oversight. Make paying effortless: link + exact amount." 8. Testimonial request: "…after successful delivery. Ask 2 specific questions they can answer in one line each." 9. Referral ask: "…happy client. Ask for a specific-person referral ('who do you know who runs…'), not a broadcast request." 10. Apology + recovery: "…we missed a deadline. Own it without excuses, state the concrete remedy, reset the date."
The voice hack
Paste two real emails you've written into the prompt as style examples. Output quality jumps immediately — this is the single highest-leverage habit.
